What Is Geofencing?
Geofencing creates a virtual boundary around a physical location. When an employee enters or leaves the geofenced area, the system can automatically record a clock-in or clock-out event — or prompt the employee to confirm.
This eliminates buddy punching, reduces timesheet fraud, and gives managers real-time visibility into who's on-site.
How It Works in Payrollix
Administrators define job sites by entering the location coordinates and setting a radius (from 50 to 1,000 meters). Employees using the Payrollix mobile app will be prompted to clock in when they arrive at a geofenced location.
The system records GPS coordinates at clock-in and clock-out, which appear on the timesheet alongside the job site name. Managers can review location data in the timesheet approval workflow.
Privacy and Compliance
Employee privacy is a top priority. Geofencing only activates near defined job sites — we do not track employees outside of work hours. Location data is recorded at clock-in and clock-out events. An optional mileage tracking mode provides continuous GPS breadcrumbs while clocked in, but this is opt-in only. All location data follows our standard data retention policies.
Employees can see exactly what location data has been recorded in their self-service portal.
