You run payroll for your clients. Payrollix handles the tax filings.

That is the whole idea. You keep doing what you do for each client — reviewing hours, approving the run, cutting the direct deposits — without personally preparing, submitting, and tracking every federal and state payroll filing that comes after. The returns and deposits are the part of payroll that quietly consumes a firm's time, and they are the part Payrollix takes off your plate.

The filing work you are doing today

For most firms, running the payroll is not the hard part — the filings are. A single client generates a surprising amount of downstream work you have to prepare, submit, and then track to acknowledgment. Federal payroll deposits on a monthly or semiweekly schedule through EFTPS. A quarterly Form 941. An annual Form 940 for FUTA, with quarterly deposits once the $500 threshold is crossed. W-2s and a W-3 at year end, filed with the SSA. 1099-NECs and a 1096 for contractors. Then state withholding deposits and returns, state unemployment (SUI) wage reports, and in many states a separate paid-leave, disability, or local tax filing on top.

Now multiply that by every client on your book. Different states, different deposit frequencies, different portals and logins, different due dates. Miss one and the penalty lands on your client — and the phone call lands on you. This is the part that does not scale by working faster; it scales by handing it off.

What Payrollix files for you

When you run a payroll in Payrollix, we calculate every federal, state, and local tax, debit the tax portion, and deposit it to the IRS and to each state on the correct schedule — so no one on your team is logging into EFTPS or a state portal to make a payment.

Then we file the returns. Forms 941 and 940 are prepared from the completed payrolls and e-filed to the IRS through the MeF system, with the acknowledgment tracked in your dashboard. Year-end W-2s and the W-3 go to the SSA; 1099-NECs and the 1096 are handled for your contractor payments. State withholding returns and SUI wage reports are filed to each state agency on their schedule. You are not re-keying numbers into agency websites at quarter-end.

Filed under your client — with you in control

Payrollix acts as a reporting agent. Every deposit and every return is filed under your client's own EIN, authorized by a Form 8655 on file — not bundled under a co-employer or PEO arrangement. Your client stays their own employer of record, and you stay their accountant.

You approve each payroll before it runs, and you see exactly what was withheld, deposited, and filed for every client, at any time. If an agency notice ever shows up, we help you work it. The division of labor is clean: you own the relationship and the numbers going in; we own the deposits and the returns coming out.

Why this is the difference at scale

For a firm running payroll across dozens or hundreds of clients, the filing workload is the actual ceiling on growth — not the payroll runs. When deposits and returns happen automatically and correctly across all 50 states, adding the next client does not add another stack of quarter-end filings to babysit. That is what lets a payroll practice grow without growing the compliance headache in lockstep.
