Standard payroll reports

This guide covers: open the reports page, pay register, employee earnings record, deduction report, and date range and export.

Open the reports page

What it does: Surfaces every standard payroll, employee, tax, and analytical report for one client.

Where: Accountant dashboard → Reports (/clients/[clientId]/reports). The portfolio-wide analytics dashboard lives at /reports.

Steps:

  1. From a client, click Reports in the left nav.
  2. The hub is grouped into six tiles: Payroll Reports · Employee Reports · Employee Benefits Reports · Other Reports · Annual Reports · Quarterly & Annual Reports.
  3. The purple banner at the top deep-links to Report Packages for bundling.
  4. The Quick Actions strip at the bottom links straight to the four most-used reports: Latest Payroll · YTD Report · Check Register · Form 941.

Who: Accountant or SMB owner on the dashboard; client owners use the same reports nav on the client portal where available.

Notes: The portfolio dashboard /reports is a different page — Total Clients · Active Employees · YTD Gross Pay · Pending Filings cards, year-over-year comparison, monthly trends, tax-liability breakdown, deadlines, and a client summary table.

Pay register

What it does: Lists every paycheck issued for a date range — gross, taxes, deductions, net, check or DD reference.

Where: Accountant dashboard → ReportsPayroll ReportsCheck Register (/clients/[clientId]/reports/check-register).

Steps:

  1. From the reports hub, click Check Register under Payroll Reports.
  2. Pick the date range. The table renders: Pay date · Employee · Method · Reference · Gross · Net · Status.
  3. Click Download CSV in the report toolbar to export.
  4. Click Download PDF for a print-formatted version.

Who: Accountant, SMB owner, or client owner.

Notes: Voided checks remain on the register tagged Voided. The same data is available filtered by employee on Employee Earnings Record below.

Earnings record

What it does: Lists every paycheck for one employee with year-to-date roll-ups — the canonical record for employment verification.

Where: Accountant dashboard → ReportsEmployee ReportsEmployee Earnings Record (/clients/[clientId]/reports/earnings-record).

Steps:

  1. From the reports hub, click Employee Earnings Record under Employee Reports.
  2. Pick the Employee from the dropdown.
  3. Pick the Year or a custom Date Range.
  4. The table shows every pay run: Pay date · Pay period · Gross · Taxes · Deductions · Net.
  5. Click Download CSV or Download PDF to export.

Who: Accountant or SMB owner.

Notes: This is the report to hand to lenders, landlords, or attorneys when an employee asks for income verification.

Deduction report

What it does: Aggregates deductions across employees over a date range — useful for benefits reconciliation, 401(k) remittance, and union-dues remittance.

Where: Accountant dashboard → ReportsPayroll ReportsDeductions (/clients/[clientId]/reports/deductions).

Steps:

  1. From the reports hub, click Deductions under Payroll Reports.
  2. Pick the date range.
  3. The table groups by deduction code: Code · Description · Pre-tax / Post-tax · Employees · Total Amount.
  4. Click a row to drill into per-employee detail.
  5. Click Download CSV to hand off to the carrier.

Who: Accountant or SMB owner.

Notes: Garnishments show up here too — but for live disbursement tracking use Garnishments instead.

Date range and export

What it does: Lets you pull payroll totals for any custom window — month, quarter, year, or arbitrary range — and download as CSV.

Where: Accountant dashboard → ReportsPayroll ReportsMonth-to-Date / Quarter-to-Date / Year-to-Date / Date Range.

Steps:

  1. From the reports hub, click any of the four totals reports.
  2. Month-to-Date, Quarter-to-Date, and Year-to-Date auto-fill the window. Date Range lets you pick start and end manually.
  3. Each report renders: totals by client · totals by department · totals by employee.
  4. Click Download CSV in the toolbar to export.

Who: Accountant or SMB owner; clients see the same set on the client portal.

Notes: All four totals reports share the same toolbar — the only difference is which dates pre-fill.
