When a business completes and signs its onboarding package, Payrollix keeps a copy of every executed document. You can view and download them any time from the Documents page, in a section called Signed Onboarding & Authorizations.
What is stored
The signed package typically includes:
- IRS Form 8655 — the federal Reporting Agent Authorization
- State authorizations — the withholding and unemployment POAs for each state where the business has employees
- Local authorizations — where a local tax agency requires one
- Payrollix Master Services Agreement
- Moov payment agreements — the platform and ACH terms for funding payroll
- Annual e-file authorizations — where a state requires a signed authorization each year (for example, New York's TR-579)
Each PDF has a certificate of completion appended to it, recording who signed, when, and from where. That certificate is what makes the electronic signature legally valid, so the copy you download is complete on its own.
Where to find it
The location depends on how you sign in:
- Accountants: open the client, go to the Documents tab. The signed authorizations appear at the top, above the employee compliance documents.
- Business owners (client portal): click Documents in the sidebar.
- Small businesses (self-serve): click Documents in the sidebar; the section is at the top of the page.
In every case, each row has a Download button that saves the signed PDF.
Who can see them
You can only see the documents for a business you have access to. Accountants see the clients on their team; a business owner sees their own company. There is nothing to enable — as soon as a document is signed, it appears.
These are the authorizations that let Payrollix file and pay taxes on the business's behalf as its Reporting Agent. Downloading a copy is for the business's own records; it does not change who files. For what each authorization allows, see Your filing authorization (Form 8655 and state POAs).
When a document isn't there yet
The section only lists documents that have actually been signed. If a package was sent but not yet completed, its documents won't appear until signing is finished. If you expected a signed document and don't see it, the package is likely still awaiting a signature — contact support if you think that's not the case.
