Employee roster

View the roster

What it does: Lists every W-2 employee and 1099 contractor attached to a client, with pay rate, type, filing status, and active/inactive flag.

Where: Accountant dashboard → client sidebar → Employees (/clients/{clientId}/employees).

Steps:

  1. Pick the client from your client list.
  2. In the left sidebar, click Employees.
  3. The table shows: Employee (avatar + name + email) · SSN (masked) · Type (W2/1099 badge) · Pay Type · Pay Rate ($/hr for hourly, $/yr for salary) · Filing Status · Status (Active/Inactive) · Actions.

Who: Accountant, accountant-staff, or anyone with read access to the client.

Notes: The SSN column shows the last four digits only — the full SSN is encrypted at rest. The status badge is green for Active and gray for Inactive. The header counter on the SMB and client portals also breaks down hourly vs. salary.

Filter & search

What it does: Narrows the roster to the rows you're looking for.

Where: Same page — the Search by name... box above the table.

Steps:

  1. Type any part of a first name, last name, or (in the client/SMB portal) email, department, or job title.
  2. The list filters as you type — no Enter key needed.
  3. To include separated employees, check Show inactive (SMB portal only). On the accountant dashboard, inactive employees are mixed into the list and badged gray.

Who: Same as above.

Notes: Search is client-side on the loaded page (first 100 employees). For clients with more than 100 W-2 workers, use the URL filter or contact support — the API supports pagination but the UI does not paginate yet.

Open one employee

What it does: Opens the full employee record — personal info, address, work location, federal + state W-4, direct deposit, time-off balance, and documents.

Where: Click the row's Edit link (accountant dashboard) or View link (SMB portal).

Steps:

  1. Click Edit or View at the right end of the employee row.
  2. The detail page loads at /clients/{clientId}/employees/{employeeId} with the view-mode panels: Personal Information · Emergency Contact · Address · Employment Information · Direct Deposit · Time Off · Documents.
  3. Click Edit Employee in the top right to switch the page into edit mode.

Who: Accountant or client-portal user with employee-read permission.

Notes: The header shows the worker-type badge (W2/1099) and the active/inactive pill. If email is set and the worker is W-2, a Send Portal Invite button appears beside Edit Employee — it emails the employee a link to set up their own portal access.

Cross-portal views

What it does: Same roster, surfaced inside the portal each user logs into.

Where:

  • Client-portal owners: Employees in the portal sidebar (/client-portal/employees).
  • SMB-portal admins: Employees in the portal sidebar (/smb-portal/employees).
  • Employee portal: no roster — employees only see their own record.

Steps:

  1. Log in to your portal.
  2. Click Employees in the sidebar.
  3. The same active-count summary, search, and table appear, with portal-appropriate actions: client-portal owners can click Add Employee to send an invite link; SMB admins get a four-tile stats strip (Total · Active · Hourly · Salary) above the table.

Who: Client-portal owners, SMB admins.

Notes: The client portal's Add Employee button opens an invite modal — name + email only. The employee then completes their own SSN, address, W-4, and direct deposit through the onboarding link. The accountant-dashboard new-hire form is the full version — see Add an employee.
