Profile & W-4

This guide covers: Update personal info, Change address, Update W-4, Multi-state W-4 (if applicable).

Update personal info

What it does: Lets you edit your phone number and emergency contact. Name, SSN, date of birth, and hire date are read-only — those go through your employer.

Where: Employee Portal → My Profile (/employee-portal/profile).

Steps:

  1. From the left nav, click My Profile. The top banner shows your name, initials, and company.
  2. Click Edit Contact Info at the bottom of the page.
  3. Update Phone in the format (555) 123-4567.
  4. Under Emergency Contact, fill Contact Name, Contact Phone, and Relationship (e.g., Spouse, Parent, Sibling).
  5. Click Save Changes. A green toast confirms Profile updated successfully.
  6. Use the Change Password card below the profile card to update your portal password. Enter current password, new password (≥ 8 chars), and confirm.

Who: The employee only.

Notes: Name and SSN edits go through your employer's accountant — they have to update them on the backend. Pay Type, Filing Status, Hire Date, and Date of Birth are visible but read-only.


Change address

What it does: Updates your home address. The address drives state tax withholding, local tax (where applicable), and where W-2s are mailed if printed.

Where: Employee Portal → My Profile → click Edit Contact Info.

Steps:

  1. Click Edit Contact Info.
  2. Update Street Address, City, State (dropdown of US states + DC), and ZIP Code (5 or ZIP+4 format like 12345-6789).
  3. If you select OH, an Ohio School District panel appears. Click Auto-Detect to look up your SD number from your address — or enter the 4-digit SD number manually. The district name auto-fills when known.
  4. If you select another local-tax state (IN, KY, MD, MI, PA, NY, MO, AL, CO, DE, OR), an amber Local Tax panel appears. Enter the tax jurisdiction (county, city, school district, or transit district depending on state — the label tells you which).
  5. Click Save Changes.

Who: The employee.

Notes: ZIP+4 gives more accurate Ohio school district lookups than 5-digit ZIP. The OH school district lookup may return needs verification — if so, double-check against the link to tax.ohio.gov/finder before saving. PA "Local Services Tax", OR "Transit Tax", and NY "City/Yonkers Tax" each have their own jurisdiction strings; copy the exact value from your municipality if you're unsure.


Update W-4

What it does: Sets your federal income tax withholding by editing your IRS Form W-4 (2020+ version) elections.

Where: Employee Portal → W-4 Information (/employee-portal/w4).

Steps:

  1. From the left nav, click W-4 Information. You see two sections: Federal Tax Withholding (IRS W-4) and State Tax Withholding.
  2. Click Edit W-4 in the upper right of the federal card.
  3. Step 1: Filing Status — pick one: Single or Married filing separately, Married filing jointly, or Head of household.
  4. Step 2: Multiple Jobs or Spouse Works — check the box if you have more than one job or are married-filing-jointly and your spouse also works.
  5. Step 3: Claim Dependents — enter your total dependent credit. The formula box reminds you: qualifying children under 17 × $2,000 + other dependents × $500.
  6. Step 4: Other Adjustments (Optional) — fill three fields if applicable: (a) Other Income (interest, dividends, retirement) · (b) Deductions (if itemizing above standard) · (c) Extra Withholding (additional flat amount per pay period).
  7. Scroll down past the state section and click Save Changes. A green toast confirms.

Who: The employee only.

Notes: Changes apply to your next pay period — not retroactively. The blue About W-4 Changes banner at the top is a reminder to update after major life events (marriage, new dependent, etc.). The bottom Need Help? card links to the IRS W-4 page and the IRS Tax Withholding Estimator.


Multi-state W-4 (if applicable)

What it does: Captures your state withholding election based on your work state's W-4 form. Some employees who live and work in different states have to provide forms for both.

Where: Employee Portal → W-4 InformationState Tax Withholding section.

Steps:

  1. On the W-4 page, scroll to the State Tax Withholding ({your state}) card. The state shown is the work state on your employee record.
  2. If the state has no income tax (e.g., TX, FL, TN, WA, NV, AK, SD, WY, NH), you see a green does not have state income tax banner — nothing to do.
  3. Otherwise, click Edit W-4 at the top of the page. The state section becomes editable.
  4. Fill the state-specific fields. Each state has its own form: filing status, exemptions, dependents, additional amount. The on-screen labels match your state's official W-4.
  5. Set Extra state withholding per pay period ($) if you want a fixed extra amount taken out on top of the calculation.
  6. Click Save Changes.

Who: The employee only.

Notes: Multi-state work — where you live in one state and work in another, or split time across states — is partially supported today. The form only captures one state W-4 at a time, tied to your primary work state. If you have a true dual-state situation (e.g., NY/NJ commute), ask your employer's accountant to handle the secondary state withholding manually until full multi-state W-4 ships. The State Tax Withholding view shows No state W-4 on file yet. Click Edit W-4 above to complete it. if you have never saved a state W-4 — completing it is required for accurate state withholding.
