Submit a timesheet
What it does: Records your hours for the current pay period (using the time clock or manual entry) and sends the timesheet to your employer for approval.
Where: Employee Portal → Timesheets (/employee-portal/timesheets).
Steps:
- From the left nav, click Timesheets.
- The top card is the Time Clock. If you are not clocked in, you see Not clocked in. Click the green Clock In button — the browser may ask for location permission; grant it if your employer requires GPS.
- While clocked in, the card shows a live elapsed timer in HH:MM:SS, the Clocked in at time, and the location name or address (if GPS captured).
- Click the red Clock Out button when you stop work. Your hours are added to today's row on the current-period timesheet automatically.
- Below the clock, the Current Pay Period card shows the daily grid: Day · Regular · OT · PTO · Holiday · Sick · Total. Today's row is highlighted blue.
- If you need to add hours manually (not via the clock), click Edit Timesheet at the top of the card to open the editor (see Edit a draft below).
- When the timesheet is complete, click Submit for Approval at the bottom of the card. The status pill changes from gray Draft to blue Submitted.
Who: The employee.
Notes: Submit for Approval is hidden until the timesheet has more than zero total hours. If your employer set the geolocation scope to Organization-wide or Per Location with GPS required, clock-in fails when you are outside the geofence. The reverse-geocoded address comes from OpenStreetMap and may not always succeed — the lat/long is what's actually saved.
Edit a draft
What it does: Lets you fix a timesheet that is still in Draft or Rejected status — adjust hours, add notes, and re-submit.
Where: Employee Portal → Timesheets → click Edit Timesheet on the Current Pay Period card, or open a row from the history table (/employee-portal/timesheets/{timesheetId}).
Steps:
- Open the timesheet detail page from the Edit Timesheet button or by clicking View on a draft row in the Timesheet History table.
- Edit each daily entry's Regular, OT, PTO, Holiday, Sick fields. The row totals and weekly totals update live.
- Add free-text Notes per entry, or in the overall Notes field, to give your approver context.
- Click Save to keep changes without submitting. The pill stays on Draft.
- Click Submit for Approval to send it. The pill becomes Submitted.
- If the timesheet was previously Rejected by your approver, a red banner shows their rejection reason. Fix the entries they flagged, then re-submit.
Who: The employee.
Notes: Once a timesheet is Approved, you cannot edit it directly — you have to request a change via the Change Request flow. On the detail page, click Request Change, enter a reason and the proposed new entries, and submit. Your approver sees it in their Change Requests tab and either applies it or rejects it. The full history of approvals, rejections, and amendments is available via the History button on the detail page.
Request time off
What it does: Sends a time-off request (vacation, sick, personal) to your approver, with a target date or range and the number of hours.
Where: Employee Portal → Leave Requests (/employee-portal/leave-requests).
Steps:
- From the left nav, click Leave Requests.
- Click Request Time Off in the upper right.
- In the Time Off Type list, pick your policy (e.g., Vacation, Sick, Personal). Each row shows hours available.
- Pick Request Type: Full Day (default 8 hours) · Partial Day (you supply start time, end time, and hours) · Multi-Day (you supply end date).
- Set Date (or Start Date / End Date for multi-day). Past dates are blocked.
- Set Hours Requested. If the value exceeds your balance, a red warning appears and Submit is blocked.
- Add an optional Reason.
- Click Submit Request. A green toast confirms, and the row appears in Request History with yellow Pending status.
Who: The employee.
Notes: You can cancel a request anytime while it is Pending by clicking the red Cancel link on its row. After it is Approved, you can still cancel it as long as the start date is in the future. Denied and Cancelled requests cannot be re-opened — submit a new request instead.
Check leave balance
What it does: Shows your current balance, year-to-date used, and year-to-date accrued for each time-off policy you are enrolled in.
Where: Employee Portal → Leave Requests → Your Time Off Balances card.
Steps:
- From the left nav, click Leave Requests.
- The Your Time Off Balances card lists every policy assigned to you. Each tile shows:
- The policy icon (sun for vacation, alert for sick, calendar for personal, briefcase for other) and Policy Name.
- Available — your current usable balance, in hours.
- Used YTD — hours taken so far this year.
- Accrued YTD — hours earned so far this year.
- Use these numbers to plan time off. The Hours Requested field on the request form caps at your available balance for the policy you pick.
Who: The employee.
Notes: If the card shows No time off policies assigned, your employer has not enrolled you in any leave program — contact them. Balances update in real time after approvals and accruals. Accrued YTD can differ from Used YTD + Available if there was a balance carried over from last year — carry-over rules are set by your employer's policy.
